About the Position

The Administrative Coordinator will be responsible for overseeing various administrative duties and supporting tasks within the organization.

  • Key Responsibilities:
    • Developing and maintaining an efficient documentation and filing system for both soft and hard copy records, ensuring timely updates on the Data Management System.
    • Managing office equipment, including printers and other devices to ensure smooth functioning.
    • Providing administrative support to the Head of Administration on HR-related matters.
    • Taking minutes during meetings and ensuring all staff complete required courses and submit certification promptly.
    • Managing the ordering and inventory of office supplies.
  • Supporting Duties:
    • Assisting in coordinating events such as Residents' Day, Iftar, Charity Fest, and other organizational activities.
    • Coordinating guest and partner visitations, including engagement with donors and stakeholders.
    • Supporting the development and preparation of Standard Operating Procedures (SOPs) and MSF licensing documents.
    • Handling incoming phone calls, managing calendars, scheduling meetings, and preparing necessary documentation.

Requirements:
