This role offers an exciting opportunity to join our well-established APAC legal team as a Corporate Secretarial Associate, reporting to the Manager, Senior Paralegal, APAC. You will work closely with the broader legal team to assist with full-spectrum corporate secretarial work across the region, contract administration, and general administrative support.

  • Administer and maintain legal document databases and agreements.
  • Liaise with notaries public for document notarization and legalization.
  • Provide comprehensive support for all aspects of legal work and administrative tasks.

Key Responsibilities:

Corporate Secretarial Duties

  • Manage corporate secretarial matters for all Vantage entities across the APAC region, collaborating with external service providers and internal stakeholders.
  • Ensure regulatory and statutory compliance, including timely filing and maintenance of statutory records in accordance with relevant requirements.
  • Handle entity incorporation and management across the APAC region.
  • Manage event-based changes, such as updates to office holders' particulars.
  • Prepare corporate documents (including notices, resolutions, and meeting minutes) and organize statutory meetings, such as AGMs and board meetings.
  • Support internal stakeholders with KYC requests for corporate information and documents.

Contract Administration

  • Process contract execution and filing.

Requirements:

  • Diploma in Paralegal Studies or a related field.
  • Minimum 3 years of relevant experience.
  • Excellent administrative and organizational skills, with attention to detail and resourcefulness.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong interpersonal and communication skills.
  • Team player with the ability to work collaboratively across functions.
