Facilities Officer Role

Job Summary
We are seeking a highly skilled and experienced Facilities Officer to join our team at NEO GARDEN CATERING PTE. LTD. The successful candidate will be responsible for the day-to-day management of our building, including maintenance, administration, and facilities operations.
Key Responsibilities
- Manage and coordinate all maintenance and administrative staff assigned to the building.
- Carry out maintenance functions to the highest standard expected by the client and subsidiary proprietors.
- Coordinate personnel providing maintenance, finance, security, fire safety, and car park management services.
- Ensure all contract works and routine servicing are carried out in accordance with their contracts agreement.
- Review all contracts, agreements, and insurance before their expiry and recommend renewal or call for quotation/tender.
- Coordinate council meetings and general meetings.
- Generate planned activities, create and assign work orders, conduct inventory stock counts, report and track fault analysis, monitor breakdown trips, generate inspection reports, and monitor water and electrical meter readings.
- Prepare and source quotations for different job scopes, generate purchase orders, and liaise with contractors to ensure timely completion of maintenance works.
- Furnish weekly and bi-weekly checklists, manage and monitor service standards of term contractors, and review contract works and routine servicing.
- Renew government licenses, manage ad-hoc events, prepare reports and presentations, and report to the facilities manager on issues related to the ground.
- Familiarize yourself with electrical works, including LEW, substations, switchboards, busbars, power transformers, standby generators, voice communication systems, audio intercom systems, fireman intercoms, and lighting.
- Familiarize yourself with air conditioning, ventilation, and mechanical ventilation (ACMV) systems, including AHUs, PAHUs, DX FCUs, chilled water FCUs, MV fans, jet fans, chillers, chiller plant rooms, and MCCBs for chiller systems.
- Familiarize yourself with fire protection systems, including addressable fire alarms, wet sprinkler systems with pumps, NN100 systems, dry risers, fire extinguishers, hose reels, fire decams, escalation processes, and pressurized staircases.
- Familiarize yourself with hot water plant rooms, booster pumps, return pumps, hot water storage tanks, heating elements, and hot water system control panels.
- Familiarize yourself with plumbing and sanitary systems, including domestic cold water booster pumps for production and non-production, rainwater booster pumps, rainwater transfer pumps, newater transfer pumps, rainwater circulation pumps, and penstock pumps.
- Familiarize yourself with civil engineering works, including concrete spalling, cement works, waterproofing, and roofing works.
- Familiarize yourself with CCTV systems.
- Be in charge of cleaning services, including general cleanliness checks, attendance of cleaners, water jetting, drainage declogging, and rubbish disposal.
- Be in charge of landscape services, including attendance of landscapers, maintenance, fertilizing plants, trimming, and cleaning plants.
- Be in charge of swimming pool services, including general cleanliness checks, algae growth checks, chlorination water tests, NEA license renewal, and irrigation systems.
- Be in charge of security services, including attendance of security officers, theft acts, spot checks on security, guard tours, diesel pumps, logging of visitors and vehicles.
- Be in charge of lift services.
- Be in charge of pest control services.
Requirements
- Minimum 2 years of relevant experience.
- Certificate or diploma in property management or related courses.
- Strong communication and negotiation skills.
- Ability to perform on-site work, handle pressure, and multiple tasks.
- Good administrative and computer literacy.
- Good knowledge of fire safety systems, buildings, electrical, and plumbing services.
