Welcome to The Supreme HR Advisory Pte. Ltd. We are seeking a skilled and friendly Executive Front Desk Coordinator to join our team in Marina Bay Financial Centre, downtown area. As a key member of our front office team, you will be responsible for providing exceptional guest services, ensuring seamless meeting room operations, and maintaining a clean and welcoming environment for our staff and visitors.

Job Summary

About the Role
  • Meet and Greet Visitors: Welcome guests, escort them to designated areas, and provide a warm welcome script, including information on meeting room systems, restrooms, fire exits, and more.
  • Front Desk Operations: Respond to staff and courier inquiries, receive and record mail, and send email reminders as needed.
  • Catering and Beverage Service: Offer management staff and external guests a selection of beverages and assist with serving or arranging staff to serve accordingly.
  • Meeting Room Management: Inspect meeting rooms, report any facility faults, and ensure setup standards are met.
Responsibilities
  1. Guest Services: Provide accurate directions to meeting venues and office locations, maintain a list of nearby amenities, and offer taxi booking services.
  2. Event Coordination: Assist with overseeing events, VIP meetings, and executive conference suite arrangements.
  3. Vendor Management: Coordinate with vendors and caterers for onsite services during events.
  4. Room Management: Manage common meeting rooms, submit weekly reports, and handle enquiries via phone, email, or Teams.
Requirements

We are looking for someone with:

  • Excellent Communication Skills: Ability to interact with diverse groups, both internal and external.
  • Technical Savviness: Proficiency in Microsoft Outlook, Excel, and Word, as well as ability to learn new software quickly.
  • Customer Service Experience: Proven track record of delivering exceptional service in a fast-paced environment.
  • Problem-Solving Abilities: Capacity to think critically and resolve issues efficiently.
