Job Overview

We are seeking an experienced Strata Management Officer to provide comprehensive administrative support to our Property Management team. The ideal candidate will have a strong background in property management, excellent communication skills, and the ability to work independently in a fast-paced environment.

About You
  • A degree in Real Estate Management, Business Administration, or a related field;
  • A minimum of 1 year experience in property management, preferably in strata-living contexts;
  • Familiarity with regulations governing MCSTs (e.g., BMSMA);
  • Basic competency in Microsoft Office Suite, with experience in property management software an advantage;
Key ResponsibilitiesAdministrative Support

Provide comprehensive administrative support to the Property Management team, ensuring smooth operation of administrative functions within the management office.

Record Keeping

Maintain accurate and up-to-date records of all property activities, including maintenance logs, financial documents, and resident communications.

Communication

Serve as the primary point of contact for resident inquiries and requests, ensuring timely and professional responses.

Meeting Coordination

Assist in organizing and preparing for Annual General Meetings (AGMs) and monthly council meetings, including preparing agendas, distributing meeting materials, and taking minutes.

Financial Administration

Assist with preparing and processing invoices, payments, and financial reports, monitoring and tracking expenditures against the budget.

Vendor Management

Coordinate with service providers and contractors for maintenance and repair work, maintaining a database of approved vendors and service providers.

Compliance

Ensure all property activities comply with relevant laws, regulations, and company policies, assisting in preparation for audits and inspections.

Resident Relations

Help organize community events and initiatives to promote resident engagement and satisfaction, addressing and resolving resident concerns and complaints.

Data Management

Enter and update data in property management software systems, generating reports and providing data analysis as required.

General Office Duties

Perform general office duties, including filing, photocopying, and managing correspondence, ensuring the office environment is clean, safe, and conducive to work.
