We are seeking a highly skilled Strata Management Coordinator to join our team at EXCELTEC PROPERTY MANAGEMENT PTE LTD.

Job Summary

The successful candidate will be responsible for providing comprehensive administrative support to our property management team, ensuring the smooth and efficient operation of administrative functions within the management office.

Key Responsibilities:

  • Administrative Support: Provide timely and professional assistance to the property management team, managing office supplies and maintaining a well-organized office environment.
  • Record Keeping: Maintain accurate and up-to-date records of all property activities, including maintenance logs, financial documents, and resident communications.
  • Communication: Serve as the primary point of contact for resident inquiries and requests, ensuring prompt and courteous responses.
  • Meeting Coordination: Assist in organizing and preparing for the Annual General Meeting (AGM) and monthly council meetings, preparing agendas, distributing meeting materials, and taking minutes during meetings.
  • Financial Administration: Assist with preparing and processing invoices, payments, and financial reports, monitoring and tracking expenditures against the budget.
  • Vendor Management: Coordinate with service providers and contractors for maintenance and repair work, maintaining a database of approved vendors and service providers.
  • Compliance: Ensure all property activities comply with relevant laws, regulations, and company policies, assisting in the preparation for audits and inspections.
  • Resident Relations: Help organize community events and initiatives to promote resident engagement and satisfaction, addressing and professionally resolving resident concerns and complaints.
  • Data Management: Enter and update data in property management software systems, generating reports and providing data analysis as required.
  • General Office Duties: Perform general office duties such as filing, photocopying, and managing correspondence, ensuring the office environment is clean, safe, and conducive to work.

Required Skills and Qualifications:

  • Education: "N" & "O" Levels/NITEC/Higher NITEC/WSQ Diploma in real estate management, business administration, or a related field.
  • Certification: Relevant certifications from institutions like SISV, BCA, or equivalent will have an added advantage.
  • Experience: Minimum one (1) year experience in property management, particularly in strata-living contexts.
  • Legal Knowledge: Familiarity with regulations governing MCSTs, e.g. BMSMA.
  • Computer Literacy: Basic competency in Microsoft Office Suite, familiarity with property management software is a plus.

Benefits:

A competitive salary range of $45,000 - $60,000 per annum, depending on experience and qualifications.
