Administrative Support Specialist

The Administrative Support Specialist is responsible for providing high-level administrative support to the executive team, requiring confidentiality, initiative, and sound decision making.
Key Responsibilities:
- Manage complex calendars, coordinate meetings and conference calls, and ensure timely communication with stakeholders.
- Provide exceptional telephone coverage, answering calls professionally and redirecting as necessary.
- Coordinate travel arrangements, prepare itineraries, and ensure accuracy and timely delivery of plans and tickets.
- Process invoices and expense claims for team members in a timely manner.
- Ensure compliance with policies and procedures, serving as a subject matter expert within provided guidelines.
- Assist with overflow, special projects, and day-to-day tasks as needed.
Requirements:
- Bachelor's degree holder with a minimum of 5 years' experience in secretarial, executive, or administrative assistant roles.
- Secretarial or administrative professional certification.
- Strong stakeholder management skills across all levels of the organization.
- Able to work under pressure against tight deadlines and in a confidential environment.
- Knowledge of Concur (current expense claims system) is an advantage.
- Team player with a willingness to share and execute new ideas.
- Preferably a Singaporean Citizen or Permanent Resident Visa holder.
