Department Administrator Position

The Department of Administration seeks a highly skilled and organized individual to fill the role of Administrator. This is an excellent opportunity for someone looking to develop their skills in administration, faculty support, and team collaboration.

The successful candidate will be responsible for managing the day-to-day activities of the department, including supporting the Faculty team with all activities. They will ensure that tasks are completed efficiently and effectively, and that all necessary documents are properly maintained.

This role requires strong communication and interpersonal skills, as well as the ability to work independently with minimal supervision. The ideal candidate will have a minimum of 3 years' experience in a similar role and possess a Diploma in Business Administration or equivalent.

The successful candidate will be able to multitask, handle sensitive information discreetly, and maintain punctuality, grooming standards, and confidentiality at all times.

Responsibilities:
  • Collect MCs from the box twice a day, stamp, and store them accordingly, then pass original MCs to Student Services
  • Check on Diplomas attendance (MCs) regularly and ensure supporting documents are attached for easy references
  • Prepare and print Diplomas attendance
  • Arrange Sous chef and Sanitation duties for each Term when confirmed
  • Prepare Faculty monthly line-up calendar
  • Prepare Student Line-up materials weekly
  • Update Maintenance Logbook from Lab and Kitchen Checklist
  • Prepare/fill up Staff Lunch schedule
  • Add class lessons for TL3 Report - weekly basis
  • Faculty line up - minutes taking and display line PowerPoint
  • Scan memos into Y drive and file according to batches
  • Received signed Attendance for each term, check all attendance are signed and with supporting documents, scan soft copy to Y drive
  • Follow up with instructors for Zoom attendance screenshot as evidence for SSG
  • Compiling SOTM, Ad-hoc Web-site change forms, meeting secretary, data entry & logistics, assist translate minutes, energize philosophy & culture of company
Qualifications and Skills:
  • Possess a Diploma in Business Administration or equivalent qualification
  • Minimum 3 years working experience preferably in Education Industry
  • Ability to handle sensitive information discreetly
  • Excellent command of spoken and written English language
  • Good planning and organization skills
  • Work independently with minimal supervision
  • Good communication and interpersonal skills
  • Confidence to conduct presentations on management reports
  • Digitally savvy
  • Proficient in Microsoft Office applications
