Our role at Publicis Groupe Singapore is to provide high-level administrative support to our executives, ensuring their day-to-day operations run smoothly.

Responsibilities
  • Manage executives' calendars, scheduling meetings and appointments efficiently.
  • Coordinate internal and external meetings, preparing necessary materials in advance.

In terms of travel, we arrange and manage complex itineraries for executives and team members, including flights, accommodations, ground transportation, visas, and agenda planning.

We work closely with our Travel Desk to streamline travel arrangements and ensure seamless travel experiences.

When it comes to meeting and event coordination, we plan logistics for conferences and events, including booking venues, managing AV/IT requirements, and overseeing setup needs.

We also track action items from meetings to ensure timely follow-up and completion.

We serve as the primary point of contact between executives and key stakeholders, both internal and external, handling inquiries and requests.

We prioritize and escalate matters when necessary, submitting expense reports for executives in a timely and accurate manner.

We perform general office administration tasks to support smooth operations and maintain an organized system for document filing and retrieval.

As a Business Operations Coordinator, you will be responsible for assisting in the execution of ad-hoc projects, ensuring deadlines are met and deliverables are of high quality.

You will take on additional responsibilities as assigned to support dynamic business needs.
