Job Title: Part Time Administrator

At People Profilers, we are seeking a highly organized and detail-oriented Part Time Administrator to join our team. As a key member of our Business Team, you will play a vital role in ensuring the smooth operation of our daily activities.

Key Responsibilities:
  • Administrative Support: Provide administrative support to our Business Team, including managing calendars, coordinating meetings, and facilitating communication with internal and external stakeholders.
  • Financial Administration: Assist with financial administrative tasks, such as integrating contracts, creating new suppliers, and processing purchase requests. Ensure timely follow-up on supplier invoicing and budget management.
  • Calendar Management: Manage and maintain the Business Leaders calendar, scheduling appointments, meetings, and conference calls. Coordinate travel itineraries, flights, hotel accommodations, and other travel needs.
  • Internal Communication: Manage internal communication and prioritization, including organizing and filtering email and messaging, flagging and managing action items and tasks, and holding key players accountable to priorities.
  • Expense Management: Complete monthly expense submission and reconciliation for Business Leaders corporate credit card and out-of-pocket expenses.
  • General Administration: Provide general administrative support, including scheduling meetings, preparing reports, and maintaining records.
  • Event Planning: Manage organizational communication, scheduling, and logistics for company-wide events and meetings, such as business review meetings and regional kick-off meetings.
  • Meeting Support: Prepare agendas for meetings, briefing materials, and presentations, and take meeting minutes as needed.
  • Vendor Contract Management: Assist with vendor contract management, including KOL contracting and event planning.
Requirements:
  • Education: Bachelor's degree in Business Administration, Healthcare Management, or a related field.
  • Experience: Minimum of 2 years of experience in an administrative role, preferably in the healthcare or medical technology sector.
  • Skills: Excellent organizational and time-management skills, strong written and verbal communication, proficiency in Microsoft Office Suite.
  • Personal Qualities: Ability to work independently or as part of a team, strong attention to detail, problem-solving abilities, and the capacity to handle confidential information with discretion.
