Job Title: Facilities Management Senior Executive

We are seeking a highly motivated and experienced Facilities Management Senior Executive to join our dynamic team at NPA WorldWide. As a key member of our operations team, you will play a critical role in maintaining the operational efficiency of our high-profile facilities.

Key Responsibilities:
  • Liaise with external service contractors to coordinate required work and ensure seamless execution.
  • Support the operations and maintenance team in daily tasks, ensuring timely completion and high-quality results.
  • Coordinate with cleaning, security, pest control, and landscaping teams to maintain a safe and healthy environment.
  • Manage procurement of maintenance parts, issue Purchase Orders, and assist in contract evaluation with the superior and maintenance team.
  • Coordinate maintenance and repair works with landlords, ensuring prompt resolution of issues.
  • Obtain quotations and execute preventive and corrective maintenance measures for the mall, minimizing downtime and costs.
  • Follow up with tenants on defects, preventive maintenance, and corrective actions in their units, ensuring satisfaction and compliance.
  • Conduct visual inspections for fire safety and food hygiene, ensuring compliance with regulatory requirements.
  • Recommend and develop long-term preventive maintenance plans based on daily operations, optimizing resources and reducing costs.
  • Compile utilities charges for submission to the superior landlord, ensuring accurate and timely billing.
  • Assist with administrative tasks such as preparing circulars and tabulating chilled water billing for tenant invoicing.
  • Obtain quotations and execute feasibility studies for reconfiguration works, ensuring alignment with business objectives.
  • Ensure smooth and timely execution of tenant fitting out, reinstatement, and reconfiguration works, minimizing disruptions.
  • Coordinate the submission of documents to relevant parties and authorities, including the superior landlord, ensuring compliance and timely resolution.
  • Participate in emergency management and provide support during evacuations, ensuring safety and minimizing risks.
  • Assist in the annual budgeting process, manage expenditure, and oversee capital expenditure (CapEx), ensuring alignment with business objectives.
  • Monitor monthly expenditure and CapEx, explaining any budget variances and recommending corrective actions.
Requirements:
  • Diploma in Building/M&E/Facilities Management/Real Estate Management or its equivalent.
  • Minimum 2-3 years experience preferably in managing retail mall properties.
  • Self-motivated and possess good interpersonal and communication skills.
  • Ability to work independently and multi-tasking oriented.

Additional Information:

  • Required to be back for duty once or twice every month on either Saturday, Sunday, and/or PH. Duty Day reporting time will be 9am to 6pm. This will be compensated with Duty Off day during the weekday.
