We are seeking an experienced and proactive Manager to support the Head of the Learning Sciences and Assessment Department. The successful candidate will play a crucial role in ensuring the smooth operation of the department by managing various administrative tasks and Administrative Executives to support faculty and staff.

The key responsibilities include:

Key Responsibilities
  • Coordinating Department Meetings: Prepare and distribute agendas for department meetings, ensuring timely completion of tasks and decisions.
  • Developing Departmental Work Plans: Collaborate with the Head of the department to develop and monitor work plans, aligning them with the university's strategic objectives.
  • Exam Marks Entry (EME) Management: Oversee the accurate and efficient entry of exam marks for all courses, ensuring data integrity and compliance with regulatory requirements.
  • Contract Renewal and Faculty Appointments: Manage the renewal process for part-time lecturers and faculty contracts, ensuring timely completion of paperwork and compliance with HR policies.
  • New Faculty Onboarding: Support the hiring process and facilitate the onboarding process for new faculty members, ensuring a seamless transition into their roles.
  • Year-End Reviews: Assist in the preparation and coordination of year-end reviews for faculty and research staff, providing opportunities for growth and development.
  • Promotion and Tenure Process: Provide support to faculty members throughout the promotion and tenure process, ensuring they meet the required standards and guidelines.
  • MOE Secondments and Teaching Fellow Appraisal: Handle administrative tasks related to MOE secondments and provide support for the appraisal of Teaching Fellows, ensuring compliance with regulatory requirements.
  • Academic Workload System: Collaborate with other Administrative Executives to manage the academic workload system, ensuring fairness and equity among faculty members.
  • Student Feedback on Teaching: Coordinate the collection and analysis of student feedback on teaching, informing curriculum development and teaching practices.
  • Teaching Excellence Awards: Manage the nomination and selection process for teaching awards, recognizing outstanding teaching performance and excellence.
  • Liaising with the Department of Estate Development (DED): Coordinate onboarding and offboarding processes with DED, ensuring seamless transitions and minimizing disruptions.
  • Financial Planning and Budgeting: Assist in the preparation of the annual budget and other financial tasks, ensuring accuracy and compliance with financial regulations.
  • Human Resource Functions: Liaise with HR for faculty recruitment, contract reviews, promotions, and annual appraisals, maintaining training records for administrative staff and coordinating Administrative staff hiring where applicable.
  • General Office Administration: Ensure effective communication within the department, provide logistical support for events, support administrative processes and oversee the administrative deliverables of the junior officers.
