Administrative Support Specialist

Reporting to the Chief Technology Officer, the Administrative Support Specialist provides essential administrative support to ensure seamless coordination with internal and external stakeholders until the fulfillment of activities.
Responsibilities:
Provide full spectrum of secretarial and administrative support to the Chief Technology Officer and departments within the Division
Assist in planning/scheduling appointments and manage CTO's and Head of Department's calendar for internal and external meetings
Track and follow up on timelines for meetings, document submissions, and approval requests
Coordinate overseas travel arrangements and facilitate expense claims
Organize and coordinate engagement activities/events
Assist with on/offboarding process for staff within the departments
Requirements:
Diploma with at least 8 years of experience supporting C-suite level management
High level of reliability, professionalism, and discretion
Excellent organizational, multi-tasking, and prioritization abilities
Ability to work under pressure, tight deadlines, and to accommodate last-minute changes
Good communication with strong teamwork and interpersonal skills
Able to work in a fast-paced environment
Able to handle ambiguity and work independently
Self-motivated and resilient
Proficiency in MS Office (Word, Outlook, Excel, & PowerPoint)
