
Lease Administration Specialist

Job Summary:
We seek a highly organized and detail-oriented professional to administer leases and maintain related databases. The ideal candidate will be responsible for performing administrative duties in support of the Leasing team, managing leasing and marketing databases, preparing lease documentation, tracking status, and maintaining tenancy records.
- Administer leasing databases and perform related administrative tasks.
- Manage leasing and marketing databases to ensure accuracy and efficiency.
- Prepare lease documentation, track status, and maintain tenancy records in accordance with company policies.
- Coordinate with various parties on lease-related matters to facilitate smooth transactions.
- Support meetings and prepare weekly/monthly reports to provide stakeholders with timely updates.
- Ensure timely execution and return of tenancy documents to prevent delays.
- Monitor lease expirations and renewals to optimize rental income.
- Assist new tenants with onboarding, completing necessary documentation, and ensuring a seamless transition into their rented property.
- Track and follow up on financial transactions to ensure accurate record-keeping and compliance.
- Record and reconcile audited sales reports and GTO billing (if required) to maintain transparency and accountability.
Requirements:
To be successful in this role, candidates should possess a Diploma in Building Estate Management, Business Administration, or equivalent, plus at least 2 years of relevant experience preferred. Proficient in Microsoft Office is essential, as well as strong communication and written skills, attention to detail, diligence, and the ability to work independently and as part of a team.
A good understanding of the real estate industry is advantageous, but not mandatory. Candidates without experience in real estate but strong in administrative support and proficient in Pivot Table & vlookup functions are welcome to apply.
