Job Summary:

We are seeking a highly skilled and motivated Personal Assistant to provide exceptional support to our CEO. The Personal Assistant will act as a trusted partner and confidante, facilitating the smooth operation of the CEO's office and enabling them to focus on strategic initiatives. The successful candidate will possess excellent organizational skills, exceptional attention to detail, and the ability to handle sensitive and confidential information with discretion. This role requires exceptional multitasking abilities, adaptability, and the capacity to work effectively in a fast-paced environment.

Responsibilities:

  1. Calendar Management: Efficiently manage the CEO's calendar, scheduling and prioritizing meetings, appointments, conferences, and travel arrangements.
  2. Communication Management: Screen, prioritize, and respond to phone calls, emails, and correspondence on behalf of the CEO, ensuring accurate and timely communication.
  3. Travel Arrangements: Coordinate all travel arrangements, including flights, accommodations, ground transportation, visas, and itineraries, ensuring a smooth travel experience for the CEO.
  4. Meeting Support: Prepare meeting agendas, materials, and presentations, and assist in setting up conference calls, video conferences, and in-person meetings. Take accurate meeting minutes and follow up on action items.
  5. Document Preparation: Draft and proofread correspondence, reports, presentations, and other documents as required, maintaining a high level of accuracy and professionalism.
  6. Information Management: Organize and maintain confidential files, records, and databases, ensuring easy retrieval and access to relevant information.
  7. Relationship Management: Establish and maintain effective relationships with internal and external stakeholders, including board members, executives, clients, and partners, on behalf of the CEO.
  8. Research and Analysis: Conduct research and compile reports on various topics, providing accurate and concise information to support decision-making processes.
  9. Project Coordination: Assist in coordinating and monitoring projects, ensuring deadlines are met, and progress is communicated effectively.
  10. Event Planning: Assist in organizing company events, including board meetings, retreats, and social gatherings, by coordinating logistics, catering, invitations, and other related tasks.

Requirements:

  1. Proven experience as a Personal Assistant, Executive Assistant, or similar role supporting C-level executives.
  2. Exceptional organizational and time-management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  3. Outstanding communication skills, both written and verbal, with a keen eye for detail and accuracy.
  4. Strong problem-solving abilities, resourcefulness, and the ability to make sound judgments independently.
  5. High level of professionalism, integrity, and confidentiality, with the ability to handle sensitive information.
  6. Proficiency in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with calendar and email management systems.
  7. Strong interpersonal skills and the ability to build effective relationships at all levels of the organization.
  8. Flexibility and adaptability to changing priorities and last-minute requests.
  9. A proactive and positive attitude, with a willingness to take on additional responsibilities when required.
  10. Bachelor's degree in business administration, management, or a related field (preferred).
