It is responsiblefor student and faculty housing on campus, the sports andrecreational facilities, and its relatedservices.

We are looking for individuals whohave a strong passion for delivering exceptional service toresidents of the University's student and faculty housing, andathletes and users of sports & recreation facilities on campus.

The role, serving as a Hall Office Lead of thestudent hostel, offers the successful candidate a chance toenhance, contribute, and expand their skills comprehensively inareas such as customer relationship management and other leadershiproles within the Department.

If you have adegree with more than 3 years of managerial working experience (ora diploma with more than 5 years of managerial working experience)in residential management/services, customer service/relationshipmanagement, hospitality management, central administrationfunction, you may be the one whom we are looking for. Having anexperience in student hostels, staff housing or hospitalityservices would be advantageous for thisrole.

The incumbent is requiredto:
  • Plan, manage, and oversee thehostel application processing and the assignment of rooms / housingunits, including the management of waitlist and students' appealfor on-campus accommodation.
  • Ensure the highquality of rooms / housing units for students' check-in throughcomprehensive inspections.
  • Ensure accuratebilling of hall fees and other payable items as well as timelycollection and follow-up where necessary. This includes accurateand timely refunds to students whereapplicable.
  • Collaborate with other departmentsand external vendors / contractors to get update on the status ofmaintenance / repairs to studenthostels.
  • Proactively engage student residentsin understanding and addressing residents' needs, and contributingto problem-solving and resolution of concerns. This includesaddressing and resolving student residents' requests, feedback, andcomplaints promptly to meet SLArequirements.
  • Plan, curate communications andinform student residents in advance on scheduled maintenance, adhocrepairs and other matters that may cause inconvenience toresidents.
  • Plan, organize, and conduct routinewalkthroughs of OCH managed premises to evaluate safety andsecurity measures. This includes follow-up actions for enhancementand refinements of measures.
  • Lead and takecharge of investigations and compile supporting documentation forincident reports. This includes proposal of suitable sanctions forrule violations based on the severity and frequency of infractions,and prompt escalation of persistent and / or severe breaches forfurther enforcement measures, as well as implementation of approvedsanctions.
  • Ensure the maintenance of up-to-dateand precise records, including resident details, occupancy status,and availability, to facilitate billing processes and managementreporting.
  • Ensure that facilities reservationsare made through established booking channels, and all pre-eventand post-event arrangements are properlymanaged.
  • Oversee regular stock-taking exercisesand the disposal of managed inventory and assets within thecluster.
  • Define requirements for procuringnecessary goods and services, including prepartion of quotationsand tenders, their evaluation, and making recommendations for awardof business.
  • Plan, deploy, supervise and managestaff within the Hall Office to deliver optimal outcomes. Thisincludes ensuring that newly joined staff are properly integratedinto the team and familiarised with hostel policies, procedures andtheir workresponsibilities
