Roles & Responsibilities

MAIN RESPONSIBILITIES

● Administer & coordinate administrative functions within the S&E department's support role of other departmental stakeholders.

● S&E Team

o Work with the Sales & Events Team to administer & coordinate the following processes.

o Contracting: Once an event has been confirmed and all terms have been agreed to and contract has been issued, follow up with Client on execution of venue hire agreement.

o Invoicing: Issue invoices to clients & follow up in issuance of invoices to clients with the S&E Team as well as with Client to ensure payments are done as per agreed-to contract terms.

o Reporting: Provide a daily report to the HOD and the team on the status of outstanding contracts & payments as well as the status of pending, confirmed or lost events.

o Operations: Assist the Senior Event Operations Manager and the rest of the S&E Team in the operational deployment of events (both commercial & cultural) as directed by the HOD, Senior Event Operations Manager & S&E Team.

o Generate relevant Event Orders to be passed to the Operations Team for the successful deployment and execution of events.

o Liaise with other relevant departments as required to ensure a smooth and seamless operational execution of events.

● Internal & Offsite Events

o Manage and coordinate event attendance via designated ticket partner or internal CMS.

o Build event ticketing.

o Coordinate the sale of VIP packages (when applicable).

o Generate ticketing reports.

o Be the main point of contact for customer and client enquiries and ensure they are all responded to promptly.

● Cultural Department

o Coordinate any reservations & related administrative process for all cultural events in tandem with the Reception & Reservation team.

o Books and manages member events and RSVPs on our event management system, TripleSeat and Sevenrooms, as well as enter and retrieves information contained in events databases such as CMS to update records, files & reservations, and answer inquiries from guests.

o Assist the Cultural Events Coordinator in administrative tasks, including accurate and updated reporting of guestlists and attendance, event forecast sheets, and in updating the team on RSVP performances.
