The Executive Administrator will ensure the efficient and effective operation of the office for a cutting-edge technology company with their regional office in Singapore.
The role demands exceptional organizational skills, attention to detail, and the ability to multitask in a dynamic and fast-paced environment.
Responsibilities
· Performs various secretarial, clerical, and administrative duties, but with specialized attention to the fact that the information, decisions, and communication involved may be sensitive or confidential.
· Manage the CEO's calendar, appointments, and scheduling, ensuring efficient time management and prioritisation of meetings and events.
· Facilitate seamless travel arrangement by arranging flights, accommodation, visas, and transportation for CEO and foreign staff visits to Singapore office.
· Coordinate and organise internal and external meetings, including preparing agendas, coordinating logistics, and providing necessary documentation.
· Ensure the necessary meeting room/facilities and necessary access passes are prepared for visitors and foreign staff access to the office.
· Co-ordinate and monitor the services provided by service partners and ensure that the outputs / outcomes are accurate and timely; meeting the standards set within the Service Level Agreement (SLA).
· Produce reports, presentations, and briefs as needed
· Assist with stationaries ordering and efficient running of the office
· Perform any other ad-hoc duties as assigned, demonstrating flexibility and a willingness to address various organizational needs.
Requirements
· Minimum Diploma/ bachelor's degree in any relevant field
· At least 5 years of relevant working experience
· Familiarity with current technologies, like desktop sharing, cloud services and VoIP
· Experience with word-processing software and spreadsheets (e.g. MS Office)
· Knowledge of online calendars and scheduling (e.g. Google Calendar)
· Excellent phone, email and instant messaging communication skills
· Excellent time management skills
· Solid organizational skills
· Confident, decisive, and experienced communicator with strong written and verbal skills that can use tact and diplomacy when interfacing with different personalities
· Professional and friendly demeanor
· Detail-oriented and able to work efficiently with minimal errors
· Proactive and willing to suggest additional areas of responsibility that can be delegated
· Independently seek to identify and resolve problems by being a creative and proactive problem-solver - be solution focused
· Ability to work in a fast-paced virtual environment, manage priorities/deadlines accordingly
· Tech-savvy, eager, and quick to learn new technology

Work location: Marina Bay Financial Centre (Work from office)
Working hours: 9am to 6pm(with 1 hr lunch break) Mondays to Fridays
