Job Type: One-year Renewable Contract

Responsibilities:

Supporting Alignment of Objectives:


• Assist in documenting and tracking program objectives to ensure alignment with business goals.


• Gather and organize information on business goals and program objectives.

Managing Interdependencies and Resources:


• Help identify and document interdependencies between projects.


• Assist in resource allocation and scheduling across different projects.


• Maintain resource utilization reports and dashboards.

Monitoring Program Strategy and Progress:


• Collect and compile progress reports from various project teams.


• Assist in the preparation of program strategy documents and presentations.


• Track milestones and deliverables to ensure timely completion.

Providing Governance and Structure:


• Assist in setting up and maintaining governance frameworks and documentation.


• Ensure that program documentation is complete, current, and stored appropriately.

Managing Risks and Changes:


• Support risk management processes by maintaining risk registers and tracking mitigation actions.


• Document change requests and track their status and impacts on the program.

Facilitating Communication:


• Act as a liaison between project teams and stakeholders by organizing meetings and maintaining communication logs.


• Prepare meeting agendas, minutes, and follow-up action items.

Collaborating with Account Partners and Service Lines:


• Assist in coordinating meetings and communication between the program manager, account partners, and service lines.


• Document and track strategic and business alignment activities.

Financial Management


• Monthly Timesheet Management


• Verify deliverables and issue Certificate of Completion


• Account and clocking management

1. Resource Management


• Manage resource onboarding/offboarding


• Provide central induction on staff onboarding (regarding platform, administrative needs, and general processes)


• Facilitate DSTA Hacker Rank Testing (Check completion, Follow-Up and filing)


• Manage MSD Clearances (Approvals, Submission & Documentation)


• Manage visitor access to ConnectionOne T5L9


• Ensure that master resource list is updated


• Validate that resources clock utilisation accurately and timely


• Letter of appointment

2. Asset Management


• DSTA Assets Applications Installation & Set-up (Developer Laptop)


• Re-tagging/issuance of IBM/Authority assigned devices


• Bi-Annual asset stocktaking


• Ensure that asset tracking list is updated


• Tracking and renewal of eLOA

3. Security and Compliance Management


• DS&P (Standard items only – access etc)


• Access management for security purposes (assigning of high-level access to track's box, project's groupchat, etc)


• Security Incidents


• Ensure that quarterly Security Briefings are conducted with attendance-taking

4. Hiring Management


• Submission of Work Item Creation


• Creation of tram ticket for hiring


• Bond Cart management and approval

5. Financials and Billing Management


• Ensure that billing is done properly and on time


• Manage issuance of Performance bond


• Validate SubK invoices for accuracy on costing and payment

6. Bid Management


• Ensure that bid proposal is done properly and closed on time

7. Governance:


• Track and report the program RAID


• Track and update on PIR


• Project Health Dashboard tracking
