KEY JOB PURPOSE
You are required to ensure the smooth operation of his/her assigned process unit. You will work closely with researchers and process engineers to contribute to cutting-edge research in the field and help drive the development of next-generation photovoltaics.
Job Responsibilities:
- Administrative Support: Provide administrative support to all departments, including but not limited to, managing correspondence, scheduling meetings, maintaining calendars, and organising files.
- Office Management: Assist in the day-to-day operations of the office, including managing office supplies, coordinating office maintenance, and ensuring a clean and organised workspace.
- Data Entry and Record Keeping: Maintain accurate records and databases, enter data into systems, and generate reports as needed.
- Event Coordination: Assist in planning and coordinating company events, meetings, courses and conferences.
- Documentation and Filing: Organise and maintain physical and electronic files, ensuring that documents are properly stored and easily accessible.
- Stock-Taking: Conduct regular stock-taking of inventory and supplies, including office equipment, stationery, and other materials. Maintain accurate records of stock levels and assist in ordering and receiving new supplies as necessary.
- Support to Management: Assist management with special projects and tasks as assigned, providing administrative support as needed.
IT Skillset:
-Perform data backup for offboarding employees
-Email creation for new employees
-Installation of software for new employee laptops
Laboratory:
-Washing of lab coats
Qualifications:
- Minimum diploma qualification or equivalent; additional qualifications in Office Administration or related field is a plus.
- Proven experience in an administrative role, preferably in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office software.
- Excellent communication skills, both written and verbal.
- Strong organisational and time management skills, with the ability to prioritise tasks.
- Attention to detail and accuracy in work.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Flexibility and adaptability to changing priorities and demands.
- Positive attitude and willingness to learn.
