Admin & Operations Executive

Job Purpose:
- Assist the Administration and Operation manager in managing school’s operations relating to financial, school safety & security and general administration.
Key Responsibilities:
Assist the Administrative Manager in the following areas:
Finance
- Ensure adherence to accounting practices, financial policies and guidelines
HR Matters
- Support admin processes of staff attending milestone course (e.g. Diploma in Special Education) to keep track of application, Bond Agreement, submission of DISE certificates
Procurement
- Assist and advise staff in raising purchase requests
- Attend to, verify and process purchase orders and invoices
General administrative support
- Manage school general office, answer phone calls and respond to inquiries from parents / visitors.
- Ensure proper documentation and filing of documents
- Assist staff in annual stock/asses verification check
Assist the Operation Manager in handling:
Estate and Facilities Management
- Liaising with contractors on estate maintenance work, improvement work and cleanliness of the school
- Adherence to Greengov.sg, APSN Safety, Health and Environment Audit, etc requirements
Logistics & Other Support
- Provide logistic support for meetings & events held at school premises
- Assist staff in transport arrangement for school programmes
Job Requirements:
- Minimum GCE ‘A’/Polytechnic diploma or equivalent
- 3-5 years working experience in an administrative or operations role is preferred
- Advanced skills in MS Office (Excel, Words)
- Computer literacy
- Have exposure in area of emergency responses and security management
- Ability to multitask with good time management
- Organized and good administrative skills
- Responsible and strong work ethic
- Written and oral communication skills
