Roles & Responsibilities

We are looking for a detail-oriented and proactive Office Admin & Operations Assistant to support daily office operations and administrative tasks. This role involves liaising with suppliers and vendors, maintaining office cleanliness, assisting with event setups, and ensuring smooth administrative processes related to training sessions.

Administrative Duties

  • ⁠Liaise with suppliers and vendors in relation to all matters of the office
  • ⁠Maintain general cleanliness and tidiness of the office and immediate work area
  • Monitor and replenish office supplies as needed
  • ⁠Update learner records and results in the system
  • ⁠Scan attendance records and upload them into the system
  • ⁠Generate e-certificates for participants and send them accordingly
  • Any adhoc duties as assigned by management

Event and Client Support

  • Direct participants to the correct classrooms
  • Assist clients during events to ensure a smooth setup, including helping with laptop and projector connections
  • Provide on-site support to address any logistical or technical issues
  • Setup classrooms for clients (shifting of tables and chairs)

Requirements

  • Able to work on Saturday mornings or afternoons (as and when required, depending on ongoing events) - time-off will be given accordingly
  • Ability to work under pressure and meet deadlines
  • ⁠Good computer and word processing skills, with good working knowledge of MS Office tools such as Word, Excel, and Power Point
  • Capable of high levels of consistency, accuracy, confidentiality, and excellent attention to detail
  • Ability to exercise judgment to identify solutions and strategies for novel situations, ability to anticipate departmental needs, and initiative to tackle problems
  • Effective written and verbal communication skills, and fluent in written and verbal English
