Alliance Française de Singapour is a local non-profit educational and cultural organization, affiliated with the international network of Alliances Françaises. With a mixed team of Singaporeans and French, and more than 4,000 members of all ages, the Alliance Française de Singapour fulfills its mission of teaching the French language and promoting French and Francophone cultures by offering various activities in its language center, gallery, theater and library.


We are looking for a professional and customer service oriented Receptionist cum Admin Assistant to join our team.


Responsibilities

Provide Front desk reception service for the office which includes handling all incoming calls and managing internal & external customers timely and professionally.

Receive and greet all visitors professionally and in a courteous manner.

Maintain a tidy and presentable reception area with necessary stationery and materials (e.g., pens, forms, brochures).

Address admin-related queries in-person and/or via phone/email in a timely, accurate and professional manner.

Receive, sort, and distribute mail/deliveries in a timely manner.

Provide, in-person and via phone/email, basic and accurate information relating to Alliance Française de Singapour’s general & cultural activities.

Maintain office security by following safety procedures.

Ensure that all the main doors (general areas) are duly locked securely after office hours.

Manage translation services, including quoting service fees, collecting payment and issuing receipts.

Advise clients on the different types of membership, account creation, collecting payment and issuing membership cards.

Assist with calling clients for surveys, including post registration call-back exercises.

Provide administrative support to the team and support ad hoc tasks as required.

Other tasks and duties assigned by management.


Qualifications & Experience

Minimum 1-2 years of work experience in office management and receptionist roles

Able to work independently without much supervision

Strong organizational and multi-tasking skills

Pro-active and attention to detail
