Key Responsibilities:
Reception Duties
- Provide support to all incoming phone calls and on-site visitors.
- Maintaining tidiness
- Issuance & Collection of Visitor's Access Card
Administrative Support:
- Provide comprehensive administrative assistance and coordinate closely with internal and external stakeholders.
- Managing email mailboxes
- Prepare and forward notifications and announcements
- Local Hotel / Restaurant / Transportation reservation
- Postage and Courier
- Internal events support
Office Management:
- Assist in the day-to-day operations of the office, ensuring a well-organized, efficient work environment.
- Manage, coordinate maintenance, and liaise with vendors.
- Office stationeries
- Pantry items
- Company's card – Starbucks, Ezlink,
- Vending machine
- Books and Magazine orders
- Communication device
- Verify and process invoices
Employee Onboarding / Offboarding:
- Prepare welcome packs, desk nameplates, and business cards for new joiners.
Document Management:
- Maintain and organize company records, both physical and digital, ensuring accurate and up-to-date documentation.
Customer Service:
- Serve as a point of contact for internal and external inquiries, providing exceptional service and resolving issues promptly and professionally.
Team Collaboration:
- Work closely with team members to provide support and contribute to a positive, collaborative workplace culture.
- Participate in other ad hoc projects / duties as and when required.
Education:
- Diploma or equivalent; additional qualifications in office administration or related fields are a plus.
Experience:
- Previous experience in an administrative or office support role is preferred. However, we also welcome motivated individuals who enjoy working on diverse tasks in a corporate environment.
Skills:
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint).
- Ability to handle multiple tasks and prioritize effectively.
- Attention to detail and a commitment to accuracy.
- Discretion and the ability to handle confidential information with integrity.
- IT/Technical savvy; experience in managing internal/external platforms is a plus.

- A proactive, positive attitude with a willingness to take on new challenges and learn new skills.
- A team player who can work independently and thrives in a fast-paced environment.
