HR & Admin Executive

Job Summary:
We are looking for a HR & Admin Executive to join our team and support the overall operations of our company. This role involves handling HR functions, office administration, and ensuring compliance with local employment laws and company policies. The ideal candidate should also be well-versed in various government funding schemes and claim incentives to support employee training, productivity, and business growth initiatives.
Key Responsibilities:
Human Resources (HR)
- Recruitment & Onboarding: Manage end-to-end recruitment, including job postings, screening candidates, arranging interviews, and conducting onboarding processes.
- HR Compliance & Policies: Ensure compliance with local employment laws (MOM regulations, PDPA, CPF contributions) and company policies.
- Payroll & Compensation: Process monthly payroll, CPF contributions, IRAS tax filings (IR8A), and leave management using HR software.
- Employee Engagement: Support employee well-being initiatives, organize company events, and assist in employee retention programs.
- Training & Development: Coordinate employee training, maintain training records, and apply for relevant government training grants (e.g., SkillsFuture, WSQ, Enterprise Development Grant (EDG), Productivity Solutions Grant (PSG)).
- HR Administration: Maintain and update employee records, contracts, and performance management documentation.
Government Funding & Claim Incentives
- Grants & Subsidies Management: Identify, apply for, and manage government funding programs such as Jobs Growth Incentive (JGI), Wage Credit Scheme (WCS), Productivity and Innovation Credit (PIC), and Enterprise Innovation Scheme (EIS).
- Claims & Reimbursements: Handle claims for training subsidies, job support schemes, and other incentive programs available for SMEs.
- Regulatory Compliance: Ensure that all claims are in accordance with MOM, IRAS, and Enterprise Singapore (ESG) regulations and maintain proper documentation for audits.
- Advisory & Reporting: Keep management updated on available funding opportunities and provide recommendations to maximize benefits.
Administrative Support
- Office Management: Oversee office supplies, facilities management, and liaise with vendors for maintenance and repairs.
- Business Support: Assist in document preparation, corporate filings, and liaising with external stakeholders such as banks and government agencies.
- Company Policies & SOPs: Maintain company policies and ensure proper documentation and compliance with regulatory requirements.
- General Administrative Duties: Handle correspondence, manage meeting schedules, and support senior management as needed.
Requirements:
- Diploma/Degree in Human Resources, Business Administration, or related field.
- 2+ years of experience in HR & administrative roles, preferably in an SME environment.
- Strong knowledge of Singapore employment laws, CPF, IRAS, and MOM regulations.
- Familiarity with government grants, funding incentives, and claim processes for training and business support.
- Proficient in HRMS, Microsoft Office (Excel, Word, PowerPoint), and administrative tools.
- Excellent organizational, communication, and problem-solving skills.
- Ability to handle sensitive information with confidentiality and professionalism.
- Self-motivated and able to work independently in a fast-paced environment.
