Order Management Officer

Order Processing and Coordination (Projects)
- Process incoming orders accurately and promptly in the company's order management system.Verify order details, including product specifications, quantities, pricing, and delivery requirements.
- Collaborate with sales/BD/proposal team, project team, and logistics teams to ensure timely fulfillment of orders.
- New customer registration support
- Shipping support
- Maintain accurate records of all orders, including order confirmations, amendments, and cancellations.
- Coordinate with the finance team to ensure accurate invoicing and payment tracking.
- Identify patterns or inefficiencies in order processing and propose solutions for improvement.
Project Management Support (service order)
- Serve as the primary point of contact for customers regarding order status, updates, and inquiries.
- Address and resolve order-related issues, such as delays, changes, or discrepancies.
- Provide proactive updates to clients about delivery timelines or adjustments.
- Project cost, charges, status update and project closure
Quality Assurance and Control:
- Develop, implement, and monitor quality standards, processes, and policies for the division.
- Ensure all the latest quality documentations are informed and been used.
- Conduct monthly internal quality audits and assessments of business development activities, proposals, and deliverables.
- Identify and address quality issues, ensuring compliance with company standards and client expectations.
- Lead internal and external audit activities and ensure compliance with company standards and auditing expectations.
- Work closely with sales, marketing, and operations teams to ensure alignment on quality objectives.
- Partner with external stakeholders, such as suppliers and clients, to address quality concerns and ensure satisfaction.
- Provide training and support to staff on quality management practices and tools.
Quality Process Improvement:
- Analyze workflows and processes within the division to identify inefficiencies or areas for improvement at yearly basis
- Familiar with business and work process to collaborate with teams to implement corrective and preventive measures.
- Identify potential risks related to quality and develop mitigation strategies.
- Establish key performance indicators (KPIs) to measure quality across CoE & business development activities.
- Prepare and present detailed reports on quality metrics, trends, and improvement outcomes.
- Use data-driven insights to recommend strategic adjustments to improve outcomes.
Requirements:
- Minimum bachelor's degree in business administration, Supply Chain, or a related field
- At least 3 years of experience in order management, logistics, or a related role.
- Strong organizational skills and attention to detail.
- Proficiency in order management software, ERP systems, or CRM tools.
- Strong knowledge of quality management systems (QMS) and methodologies (e.g., Six Sigma, ISO standards).
- Excellent organizational, problem-solving, and communication skills.
- Familiarity with business development processes and customer relationship management.
- Analytical mindset with the ability to identify process improvements.
- Experience with inventory management and supply chain coordination.
- Certification in quality management (e.g., CQE, Six Sigma Green/Black Belt, or ISO Lead Auditor)
- Ability to manage multiple projects in a fast-paced environment.
- Experience with CRM, ERP, and project management tools.
