Roles & Responsibilities

Job Description:

We are seeking a detail-oriented and customer-focused Operations Officer to join our team. The ideal candidate must be proficient in Arabic to effectively assist Arabic-speaking clients and stakeholders.

Key Responsibilities:

1. Conduct document scrutiny and collect applications for visa processing.

2. Handle customer and applicant inquiries via email, telephone, and in person.

3. Manage cash and bank transactions (if assigned) with 100% accuracy.

4. Record and maintain all application data with timely and error-free entry into the system.

5. Oversee the logistics and administration of passport delivery to consulates, applicants, and courier services.

6. Ensure compliance with standard operating procedures and manuals, avoiding process deviations.

7. Inform applicants about Value-Added Services (VAS) and facilitate their delivery.

8. Encourage applicants to provide feedback on their experience and services received.

9. Ensure the entire process is completed within the mandated Turnaround Time (TAT).

10. Promote efficient use of natural resources in daily operations.

11. Adhere to the organization's environmental, health, and safety policies.

12. Proficiency in Arabic is required to assist Arabic-speaking applicants and stakeholders effectively.

Targets & Performance Metrics:

1. Productivity: Achieve targets as prescribed in the Team Objective Tracker.

2. Customer Satisfaction (Applicants): Ensure minimal complaints and meet targets in the Team Objective Tracker.

3. Timely & Accurate Data Entry: Ensure 100% accuracy and meet performance targets.

4. Attendance & Punctuality: Avoid late reporting and unauthorized absenteeism.

5. Turnaround Time (TAT) Adherence: Meet required processing times as per the Team Objective Tracker.

6. Completion of WB Projects: Ensure all assigned WB projects are completed on time.

7. Training Programs: Attend all mandatory training sessions scheduled by HR.

8. Internal Process Certifications (OCLs): Score well on all OCL assessments completed.

9. Error Monitoring: Minimize errors, maintain an Error Log, and track improvements.

10. Productivity & VAS Conversion Tracking: Update and monitor Productivity & VAS Conversion Grid daily.

11. VOC (Voice of Customer):


• Ensure adequate surveys are completed (minimum 5% of application count).


• Meet the VOC target as prescribed in the Team Objective Tracker.

Requirements:


• Education: GCE 'O' Level, 'N' Level, or ITE qualification.


• Experience: At least 12 months of experience, preferably in the Travel, Tourism, or Service industry.


• Languages: Fluent in Arabic and English (spoken and written) to assist Arabic-speaking applicants.


• Skills:


• Strong attention to detail in handling sensitive documents.


• Excellent organizational and problem-solving abilities.


• Ability to work in a fast-paced, high-volume environment.
