Our client is an established investment firm (based in town) It is looking for a team EA and admin person reporting to the Office Mgr.

The co allows a WFH arrangement (2 times in a week).

Key functions:

Office Management & Administration Support
-
General Admin & Office Management
  • Key point of contact for general administrative and office management matters; coordinating with relevant vendors for maintenance of office equipment and space; maintain office pantry and stationery supplies;
-
Travel Arrangement Support
  • Coordinate with travel agent to support the EMT with business travel plans and insurance broker for required certificate of insurance;
-
Company Meetings & Events
  • Provide the necessary support for company meetings and events including visas (for overseas attendees, flights, hotel and meeting room arrangements, as well as preparation of required documents and presentations etc;

Meeting Logistics

  • Ensure appropriate setup of meeting room(s), meeting refreshments and AV equipment for company meetings as and when required;

Mail/Courier Management

  • Assist to manage incoming/outgoing mail/provide support for the courier of key documents from the office;

Intranet Functional Page Update
  • Manage key updates to the Office Management and Administration page on the Intranet, utilize the intranet to maintain filing and updating of key documents/policies related to the Office Management and Administration function;

New Hire Induction/Onboarding
  • Conduct office tour and admin briefing for new employees.

Corporate Support

Team Support
  • Provide calendar management and relevant administrative support to selected ExCo members and functional teams;

General Support

  • Assist in the preparation of reports, corporate presentations or other projects, and any other reasonable duties as may be assigned from time to time.

Company Ambassador

  • Act in all circumstances as an ambassador of the firm, displaying and demonstrating the highest ethical and moral standards, while effectively managing and controlling budgets and expenditure in accordance with the firm's Asia policies and procedures.

Experience and Qualifications

  • Diploma level qualifications and above and/or relevant certifications preferred;

At least 5 years of experience in administrative or secretarial/personal assistant experience in a professional multi-cultural MNC environment;:


  • Good track record and ability to plan, multi-task and organise effectively, capture know-how, records and documentation ;
  • Proactive, mature, independent and meticulous with good attention to detail;
  • Excellent problemsolving, organizational, planning, project management and budgeting skills;
  • Ability to embrace change in an environment with ambiguity is a strong plus;
  • Confident and comfortable with a multitude of diverse demands within tight deadlines;
