The Facilities and Fleet Management Executive/Senior Executive is accountable for ensuring the smooth operation of the organization's offices and vehicular assets. This includes overseeing office expansions, renovations, layout planning, and the management of the fleet vehicle program. The role requires a proactive approach to maintain functionality, comfort, and safety standards, as well as ensuring cost-effectiveness and operational efficiency.

Key Responsibilities:

Office Administration and Facilities Management:

  • Coordinate office expansions, moving, renovations, and layout planning.
  • Ensure functionality, comfort, and safety of the organization's offices and premises.
  • Oversee asset inventory.

Fleet Vehicle Program Management:

  • Plan, manage, and coordinate programs and software for fleet vehicles.
  • Oversee acquisition, insurance, permits, maintenance, repair, replacement, and disposal of vehicular assets.

Operational Efficiency:

  • Ensure operational cost-effectiveness and efficiency.
  • Manage vehicle maintenance, driver and asset management, vehicle safety, and compliance with regulations.

Inspection and Compliance:

  • Conduct regular inspections of the organization's offices, vehicles, and assets.
  • Ensure all operations meet regulatory standards and requirements.

Vendor and Contractor Liaison:

  • Liaise with vendors and contractors to maintain facilities and vehicles to a serviceable standard.
  • Minimize asset repair downtime through effective management.

Reporting:

  • Provide regular management reports on the status of facilities and fleet vehicles.

Our Requirements:

  • Minimum 2 years' experience in facilities and fleet management.
  • Diploma in Estate Management, Facilities Management, or a related field.
  • Strong organizational and planning skills.
  • Excellent communication and negotiation abilities.
  • Knowledge of regulatory standards and compliance requirements.
  • Having a drivers' license will be advantageous.
