Overview
Provide high-level executive and administrative support to the Senior Management in a real estate development company. Responsible for managing schedules, coordinating meetings, handling confidential documents, and ensuring seamless daily operations. Requires strong organizational skills, discretion, and the ability to thrive in a fast-paced environment.
Responsibilities:- Manage and coordinate schedules, meetings, and appointments for the Senior Management.
- Handle confidential correspondence, reports, and sensitive documents with discretion.
- Assist in drafting presentations, reports, and key business documents.
- Screen and prioritize emails, calls, and requests, ensuring efficient communication flow.
- Arrange and manage travel itineraries, flights, accommodations, and logistics for business trips.
- Organize internal and external events, including board meetings, conferences, and client engagements.
- Act as the primary point of contact between senior management and internal/external stakeholders.
- Coordinate with various departments to ensure seamless communication and workflow.
- Handle external engagements, liaising with clients, partners, and key business associates.
- Maintain an organized filing system for confidential documents and records.
- Process expense claims, invoices, and reimbursements efficiently.
- Oversee administrative tasks related to senior management’s office needs.
- Diploma in Business Administration, Secretarial Studies, or a related field.
- At least 5 years of experience in an executive secretarial or PA role, preferably supporting C-level executives in real estate development.
- Strong organizational, multitasking, and time management skills.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and scheduling tools.
- High level of professionalism, discretion, and confidentiality.
