Roles & Responsibilities

■ Provide technical assistance and support to contractors to ensure the proper understanding and application of AL standards and procedures and CDI requirement;

■ Ensures administration and dispatch of income/outcome couriers related to Project, registers the incoming and outgoing mails, copy and distribute documents

■ Organizes, files and maintains the Project Common Job File, including computer files, to insure that all files are well-organized and all useful documents can be found quickly ■ Upon request of Site Manager and/or Site Supervisors or Engineers, assist to organize, file and maintain the project technical documentation (home office and site), and quality documentation.

■ Organizes site team missions (accommodation and transportation booking, mission authorization forms, mission expenses re-imbursement)

■ Prepares, corrects, presents and issues documents (Word, Excel, PowerPoint) as requested by site team

■ Organizes reception of guests (accommodation and transportation booking, lunch and diner, meetings arrangement)

■ Upon request of Site team organizes and attends project meetings, prepare and issue meeting minutes when necessary

■ On Site Manager’s request follows project tasks such as contractual issues and expediting

■ In charge of Air Liquide site team time sheets follow-up

■ In charge of updated drawings follow-up

■ In charge of daily meetings log book filing

In charge of PPE handover list follow-up

■ In charge of personnel identity record and follow-up

■ In charge of WSH training record and follow-up

■ In charge of site access cards preparation

■ Supporting the site team for the submission of documentation to the client side if needed

Qualifications

■ Sufficient knowledge of Admin work

■ At least 6 years’ experience in project jobsite;

■ Good organization and coordination skills, capacity of independent working;
