The Sales Coordinator provide administrative and customer support to the sales team, working as a team towards the yearly revenue goal.
Your day-to-dayRooms Sales Support
- Provide general administration duties and customer support for the Sales & Marketing (S&M) department. Priority would be given to Leisure group bookings, and conference and banqueting events.
- Responsible in monitoring and updating the various systems related to S&M department including Hotel Sales & Catering System.
- Set up and maintain department’s filing system, database management, business tracing system, Sales & Catering System.
- Work closely with other related departments to ensure smooth workflow within the hotel.
- Assist to prepare/process proposal, agreement, Banquet Event Orders (Beo) and Change Log.
- Ensure accurate and efficient filing of contracts, processing of reservations and new business leads.
- Ensure smooth flow of inter-department information so that support services can be provided for S&M department.
- Assist to monitor customer satisfaction regularly and learn about their needs and develop relationships from which to earn repeat and expanded business.
- Follow-up on all enquiries / proposals, contract, rooming list and payment when necessary.
- Ensure that payment deadline is met prior to group arrival / event start via a secure payment gateway.
- Handle incoming emails, tele-sales enquiries, and always conduct targeted tele-sales and telemarketing and hand over to respective sales personnel.
- Attend site inspection and entertainment when required with potential clients.
- Create and maintain the department database (Leisure, Conference and Banqueting).
- Responsible for month-end report submission and any other ad-hoc reports.
Event Sales & Services Support
- Assist in end-to-end planning and seamless execution of events, including seminars, weddings, corporate meetings/gatherings, social dinners, etc.
- Schedule site inspections and monitor activities to ensure that the events meet the requirements of clients prior to signing contract.
- Innovate, adapt and work closely with clients to produce a plan that meets their event requirements, needs and expectations when required.
- Initiate billing procedures, ensure that deposits and/or credit applications are received with adequate information and within an acceptable time frame prior to signing contract.
- Always ensure the accuracy of bookings, event requirements and banquet event order (BEO) paperwork.
- Collaborate with chef on menu requests if required.
- Work closely with operations team to ensure preparation and seamless execution of committed events.
- Coordinate logistics for events, including setup, registration, catering, and audio-visual requirements if required.
- Ensure timeliness and effectively responds to and handles any issues that may arise pre and post events by clients.
- Focus on client experience and is present pre and post events to ensure a seamless and great experience for clients.Interacts with guests to obtain feedback on product quality and service levels when required.
- Perform other duties as assigned by supervisor / management. In addition, perform related duties and special projects as assigned.
- Diploma in Hotel Management or equivalent
- Minimum 1 year experience in sales related coordination work; preferably with hospitality related experience
- Proficient in administrative and organisational skills
- Competent in Microsoft Office operating system/software
- A positive and keen to learn attitude
- Must be proficient in written and spoken English and with good communication skills
