Admin and Project Assistant

We are seeking to hire a highly organised, detail-oriented, and versatile Administrative and Project Assistant to join our team. Someone with experience in similar roles in the market research and related industry will be advantageous. This role has two primary functions:
Administrative Support
- Provide high-level administrative support to company senior executives.
- Assist with travel planning, expense claims and meeting arrangements.
- Assist or handle special projects and tasks (such as organising events, staff engagements, CSR initiatives, etc.) assigned by executives.
- Undertake general office management duties such as upkeeping of the office, managing vendors and maintaining office supplies and equipment.
- Handling inbound/outbound communications, postal and courier requirements.
- Support in record-keeping, data entry and generating reports.
- Provide human resources support such as new employees’ onboarding, advertising positions, screening applicants, and organising interviews.
- Support the broader team with adhoc administrative requests.
Project Management
- Manage hardware (e.g. tablets) and incentives used in various projects.
- Support Operations team in project logistics and resource management.
- Assist in the initial setup of projects such as surveyors/respondents’ recruitment, liaising with vendors, prepping necessary tools and incentives, and organising briefing.
- Assist in vendor management and onboarding.
- Prepare data and provide support for data analysis and reporting as and when required.
Job requirements and expectations
- Minimum 2-3 years’ experience in administrative and/or project support
- Experience specifically in project managing in the field of market research will be advantageous, otherwise candidates without experience in market research must be willing to acquire new skills and knowledge.
- Minimum GCE ‘O’ level, NITEC or relevant certifications (e.g. project management or secretarial)
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time-management skills.
- Detail-oriented and able to multitask effectively.
- Resourceful, versatile with strong problem-solving skills and a proactive attitude.

- Salary range: $2600 to $2800 (Depending on experience and qualification)
- Working hours: To accommodate working parents, this role has the flexibility of earlier/later start and end time as well as shorter hours (if required).
