Operations Admin Executive

Job Description
- To assist and support the Manager at the Ops department on the day-to-day workshop & depots operations.
- Provide administrative support to the Ops Department such as filing, recording of job requisition (JR), incoming & outgoing vehicles records, bi-weekly of insurance claims report, etc.
- Assist to handle the full set of accident claim process, ensuring motor claims processes are follow up closely, till the finalization of payment.
- Submission of insurance report on a bi-weekly basis and endorse by Manager.
- Issuance of the Quotation, DO and Invoice for the depots.
- To assist Manager in conducting bi-weekly toolbox meeting, ensuring proper documentation are in place.
- Ensuring the First Aid box and its content are constantly monitor and replenish.
- Ensuring monthly OT claims are process and approve for HR to process with payroll calculation.
- To render kind assistance to foreign workers on all administrative applications.
- Actively participate and attend safety committee meeting in the absence of Manager in compliance to organizational safety practice & procedures.
- Any ad-hoc duties as assigned.
Job Requirement
- A-level / Diploma and above or equivalent.
- Compulsory to have knowledge in Microsoft Office, especially Excel.
- Report generation with good eye for details to ensure report accuracies.
- Meticulous sense of responsibilities and good working attitude & follow up skills.
- Good interpersonal skills and be able to work in fast paced environment.
- Enjoy working with all level of employees.
- Process good communication and written skills.
