Finance & Operations Admin Executive
Role Overview
The Finance & Operations Admin Executive plays a key role in managing financial and operational functions, ensuring smooth day-to-day activities.
This includes handling invoicing, payments, financial records, and administrative processes, while also leveraging Airtable and SleekFlow to automate workflows.
Additionally, basic coding knowledge is required to support system integrations and troubleshooting.

Key Responsibilities
1. Financial Administration
- Invoicing & Payment Processing – Generate invoices, track payments, and follow up on outstanding balances.
- Bank Reconciliation – Match financial transactions with invoices for accurate reporting.
- Expense Tracking & Claims – Process staff claims and monitor operational expenses.
- Tax & Compliance Support – Assist Finance manager with GST filings, tax documentation, and financial compliance matters, when required.
2. Operations & Administrative Support
- Administrative Documentation – Maintain contracts, agreements, and financial records.
- Facility & Inventory Management – Track and manage operational resources, including squad-related inventory.
3. Tech & Systems Support (Airtable, SleekFlow & Basic Coding)
- Airtable Management – Maintain and update Airtable databases for financial tracking, scheduling, and operations.
- SleekFlow Integration – Manage customer interactions, automate workflows, and support finance-related processes.
- Basic Coding & Troubleshooting – Assist with custom scripts, API integrations, and minor debugging to improve system workflows and resolve technical issues.
4. Customer & Partner Liaison
- Client Inquiries & Payment Follow-ups – Respond to finance-related queries and ensure timely payments.
- Coordination with Vendors & Coaches – Work closely with suppliers, coaches, and partners to ensure smooth financial and operational processes.

Key Requirements
- Experience in finance & admin operations, preferably in sports, education, or service-related industries.
- Proficiency in Airtable & SleekFlow – Ability to manage databases, automate workflows, and improve efficiency.
- Basic coding knowledge – Familiarity with JavaScript, Python, or API integrations to support system troubleshooting and automation.
- Strong analytical & organizational skills – Ability to handle finance, operations, and system management efficiently.
- Detail-oriented & tech-savvy – Capable of working with digital tools and improving operational efficiency.

- Will be required to work in 2 different offices throughout the week
- Primary office locations: Bunoa Vista and Yishun
- Flexibility is required to travel between locations as needed based on operational demands.
