Job DescriptionThe incumbent will support the MSc Programmes Office’s budget, finance-related and other administrative matters as follows.
Budget Support and Reports- Monitor monthly marketing and operational expenses of the office.
- Prepare monthly and quarterly programme costs reports by Programme and Intakes and financial year.
- Procurement: Submit Approval of Request (AOR) on behalf of the requestor; Raise catalogue Purchase Order (PO) in the SESAMi system; Submit PO variation reports for purchases exceeding approved PO; Assist the requestor on procurement compliance matters.
- Payment Processing: Check and update vendors’ records before processing invoices; Code invoices and verify against supporting documents; Assist in submission of general and travel expense claims in the Concur system.
- Withholding Tax for Non-Residential Professionals (NRP): Track invoices and reimbursements to ensure withholding taxes are reported on time to avoid penalties.
- Accounts Receivable/Income Collection: Follow up on outstanding payments; Reconcile credit card collections to statements; Submit cash and cheque collections to the Cashier’s Office.
- Journal Workflow: Raise journals to re-classify expenses to correct WBS, GL and Tax Codes.
- Manage and support office-related processes (facilities, administrative and IT needs).
- Coordinate staff onboarding and departure admin-related processes.
- Coordinate staff welfare activities and expenditure.
- Keep the MSc Programmes team updated on facilities and office matters.
- Work with the MSc Programmes Office team to organize recruitment and outreach activities.
- Support marketing activities, e.g., photo and video shoots for students and faculty.
- Source vendors to support marketing and campus activities (printing of collaterals, events, etc.).
Other roles within the office as designated by the Reporting Manager.
Qualifications- Bachelor’s degree from a reputable institution; at least 3 years of relevant experience including office and finance-related administration in tertiary institutions is preferred.
- Experience in budget and expenses monitoring.
- Proficient in Microsoft Office Applications.
- High level of written and oral communication skills.
- Meticulous with an eye for detail and good documentation practices.
- Ability to manage multiple tasks/deadlines with accuracy.
- Team player with strong cognitive, emotional and cultural awareness.
Appointment grade will commensurate with the selected candidate’s experience.
