Work Dynamics (Integrated Facilities Management)

ROLE AND RESPONSIBILITIES

OVERALL ROLE
The MAC Lead will assist the GREF team to manage the tactical delivery for the assigned portfolio, and support the office services program focused on moves & changes, seat & locker management, asset management and change management. The responsibilities will include developing and implementing of team strategies, big picture initiatives, governance & analytical reporting.

MAJOR RESPONSIBILITIES

Move & Changes
Management of quotations, purchase orders, contracts, and invoices
Relocation vendor management & on-site support
Lead relocation process in engagement with customer and GREF team, including move orientation meetings and communication and coordination within FM department
Quality control such as correction work management in new floor delivery from transition from PM to FM
Project support of which is promoted globally

Seat & Locker Management
Seating and locker management of newly hired, transferred and retired employees for existing portfolio
Seating and locker usage situation survey
Head count management, data creation & reporting
Seating neighbourhood management
Own management of FMS tool, including space auditing, seat updates & move requests
Work with vendor partners on utilisation analytical reporting to support FM & ‘Our Place’ program

Asset Management
Asset inventory and management of office furniture
Registering newly procured assets and asset disposal management of office furniture

Change Management
- Own the workplace change management process for Our projects
- Create change management plans and communication plans for local adoption of Our Place
- Support and enhance the Our Place program to ensure its effectiveness and buy-in across the business and employee-base.
- Engage with GREF, business partners and business leaders to understand business change management concerns, change readiness, develop change profiles and recommend strategies for addressing risks associated with the change.
- Partner with internal comms and IT to develop and maintain communication platforms and tools, including online training platforms / Wiki’s / posters / presentations.
- Support the GREF Manager on communication to business leaders and their communication to teams and individuals regarding implementation of Our Place program.
- Own/be the SME and a strong contributor for any post move engagements and focus groups.

**CANDIDATE SPECIFICATION**: KEY SELECTION CRITERIA

Ideal Experience
Min. 5 years of experience in facilities & property management or strategic planning role.
Knowledge of local health and occupational safety requirements
Efficient with productivity software, including Microsoft Outlook, Word, Excel, Project, and SharePoint
Proven ability to define and execute change strategies.
Previous experience working with cross-functional teams to dive deep and find solutions to complex problems.
Exceptional communication skills; ability to support cross-functional teams through influence, advice, and modeled behavior versus micromanagement; excellent interpersonal skills; calm under pressure.
A track record of championing speed, flexibility and frugality in the face of rapid change and extremely heavy workload.
Proven self-starter with strong organizational skills, capacity to prioritize, sets aggressive goals and consistently delivers results.
Demonstrated ability to think strategically and successfully execute tactics.
Effective resource management and project management skills.
