We are currently looking for an experienced, highly organised and proactive Administrative Assistant to provide administrative support to the two of our VPs from the APJ Leadership Team. This is a role where you can truly take initiative and expand your skills and experience, whilst being an integral part of the APJ Team.

**Responsibilities**
- Wide range of sales related activities, including management of complex calendars and scheduling requirements.
- Coordinating domestic and international travel as well as handling of travel documents.
- Arranging team meetings and events held onsite or virtually across APJ (such as New Hire/Learning & Development trainings, Quarterly Business Reviews and All Hands). This includes communications, room booking, logistics, catering, negotiation of contracts with vendors etc.
- Providing a bridge for smooth communication from the manager to the extended team whilst demonstrating trust and credibility with senior leadership.
- Office coordination including ordering and stocking office supplies, ensuring all office spaces work for the varying needs of the business, organizing catering for internal and external meetings, raising purchase orders for relevant office needs etc.
- Providing ad-hoc administrative support for the Cross functional leadership team.
**Requirements**:
- Highly organized admin with the ability to multi-task and continually re-prioritize responsibilities in a high volume and fast paced environment with an attention to detail.
- Strong customer service focus, “can do” attitude and proactive approach.
- Experience in managing calendars and business travel at an Executive level.
- Technologically savvy with at least intermediate Microsoft Office skills (Word, PowerPoint, Excel) as well as proficient in Zoom, and exposure to Concur expense system (preferred).
- Proven executive administration experience ideally supporting multi-functional teams.
- Time zone management is crucial for this role.
