**Role Overview**:
**Key Responsibilities**

**1. Logistics Management**
- Prepare and manage required export/import documentation, such as Commercial Invoices, Packing Lists, Bill of Ladings, Conformity Certificate, Certificates of Origin (COO), Letters of Credit (LC) documents, and Free Trade Agreement (FTA) forms.
- Monitor and oversee all shipments, ensuring compliance with country-specific and customer-specific requirements using Sailing File.
- Act as the main point of contact for freight forwarders, ensuring timely and accurate delivery of shipments.
- Place bookings for shipments with freight agents or carriers/lines to ensure smooth transportation and delivery schedules.
- Manage the posting schedule to be in line with the Finance Department’s postings and operations.
- Post Sales Orders in the ERP Navision system.

**2. Warehousing Coordination**
- Liaise with warehouse and third-party logistics (3PL) teams to efficiently manage incoming and outgoing deliveries.
- Conduct monthly reconciliations to ensure that system inventory matches actual physical counts.
- Review invoices from 3PL and warehouse providers to ensure accuracy for all transactions related to shipments.

**3. Procurement Operations**
- Consolidate and process Customer orders based on Minimum Order Quantity (MOQ) requirements, available stock and consolidation requirements.
- Place purchase orders with suppliers and provide regular updates to the Sales team and Customer Service team, regarding production status and timelines.
- Managing the Order Tracking Files for all Totachi products to ensure the compliance with the agreed lead time.
- Verify Proforma Invoices against agreed price lists, arrange timely payments, and manage shipment bookings with agents.
- Oversee container loading instructions with suppliers and ensure compliance with transportation requirements.
- Address customer complaints, conducting thorough investigations and implementing corrective or preventive actions.
- Post Purchase orders in the ERP Navision system.

**4. Cross-Functional Support**
- Prepare key documents, including export sales orders, proforma invoices, freight quotations, and reports, using tools such as MS Word, Excel, databases, or ERP systems (Navision).
- Support the sales team with logistics-related tasks, ensuring smooth operations.
- Coordinate special delivery requests for customers, including documentation, promotional items and sample shipments.

**Skills and Qualifications**
- Bachelor’s degree in supply chain management, Logistics, Business Administration, or a related field.
- A minimum of 5 years in supply chain or operations management.
- Proficiency in ERP systems (e.g., Navision) and advanced MS Office tools.
- Excellent interpersonal and negotiation skills for effective collaboration with internal and external stakeholders.
- Strong analytical abilities to resolve issues related to logistics, warehousing, and procurement.
- Ability to work independently, without any supervision, manage multiple tasks accurately and effectively in a fast-paced environment.

Pay: $4,700.00 - $5,000.00 per month
