RESPONSIBILITIES

**Purpose of Role**

To implement and maintain Management System effectively and efficiently. To perform the role of an Authorised Representative for SAC-SINGLAS and SFA LRP

**Areas of Responsibility**
- Management System
- Implementation, maintenance and continuous improvement of the Management Systems.
- Monitor releases from regulatory bodies for changes that affect laboratory activities.
- Communication of relevant changes to the QMS and Regulatory Requirements to staff.
- Assist in the implementation and set-up of additional quality and safety policies/procedures.
- Documentations
- Review and give final approval to all management system documentation.
- Ensure that all documentation is available to staff as required.
- Provide administrative support to laboratory staff such as management of logbooks and archiving of technical records.
- Review SAC accreditation and LRP recognition scope for correctness.
- Ensure name, initial and signature of a new staff are recorded on Record of Staff Signatures.
- Ensure that records is in good storage for traceability purposes.
- Carry out other QA & QC administrative duties as required.
- External/Internal Audits
- Ensuring internal & external audits are completed in a timely manner and relevant documentation is reviewed and updated.
- Prepare a response to audit deficiencies for Singapore laboratory external audits.
- Ensure internal audit checklists are reviewed and updated with changes in line with the external standards.
- Perform Independent audit following a major customer complaint or following a major non-compliance.
- Reporting
- Prepare reports as required e.g. ILCP reports for customers, monthly Quality reports, scorecard etc.
- Coordinate and prepare material for the annual Management Review meeting.
- Proficiency Reporting
- Responsible for monitoring the proficiency participation programs.
- Generate NCRs for outlier results.
- Liaise with Team Leaders/ Analytical Services Manager and providers to confirm the scope of participation and frequencies.
- LIMS Functions
- Approve and activate LabWare test analyses.
- Responsible for the updates on accreditation and reviewers of LabWare test analyses.
- Quality & Safety Training
- Assist with the preparation of tailor-made Quality and safety training modules.
- Provide training as required or requested by the management.
- Non-conformances Management
- Review Non-Conformance Reports and Investigation Reports completed by the laboratory prior to final sign off and filing.
- Ensure lab follows up further if actions are not deemed adequate.
- Monitor laboratory’s key performance indicators and generate NCRs where relevant.
- To consult with or provide feedback to the Laboratory Operations Manager regarding quality assurance or safety issues.
- Equipment Management
- Key contact for the external provider of calibration services.
- Liaise with the external provider to coordinate and schedule the preventive maintenance and calibration of all equipment.
- Ensure all internal calibrations (UV-Vis spectrophotometer, pipettes, dispensers, thermometers and timers) are performed at the pre-determined schedule.
- Complete Special projects as and when required.
- As a member of the HSSE team, champion and implement a cycle of continuous improvement in Health, Safety and Environment and lead by example, ensuring that HSSE are business priorities. Lead workplace HSSE participation and proactively promote safe behaviour and injury prevention. Ensure HSSE issues within the business are addressed and that hazard and risk management systems and processes are implemented. Through ongoing engagement with staff ensure HSSE at work is top priority and top of mind for all.

QUALIFICATIONS
- High technical education with industry related background, Bachelor degree is a minimum.
- Qualification in Quality Management and Workplace Safety and Health
- Previous experience with Quality Systems & understanding of ISO/IEC 17025, ISO 45001, and ISO 14001; has experience in food testing environment.
- Excellent verbal and written communication skills
