The Enterprise Division was established in 2020 to strengthen A*STAR’s generation of economic and societal impact for Singapore. Enterprise oversees A*STAR’s industry collaboration, licensing and spin off efforts. Enterprise also plays a national role in R&D grant administration and oversees innovation & enterprise platforms such as DxD Hub.
The People & Operations (POps) unit leads the People & Culture Development and Admin Operations within Enterprise Division.
**The incumbent will perform the following key roles**:
**1. People & Culture Development**:
- Collate training registrations, liaise with external training vendors/ internal trainers, raise procurement order in A*STAR system and work with Finance to effect timely payment of invoices and expenditure.
- Update Enterprise staff learning records and databases.
- Design collaterals (electronic and printed) to publicise learning activities.
- Housekeep learning administration and management systems/ processes at scheduled intervals to ensure operational efficiency and effectiveness.
- Support learning events through the planning, coordinating, procuring and setting up of learning resources required for the occasions.
**2. Admin Operations**:
- Provide secretarial, administrative and logístical support for meetings (e.g. scheduling of meetings, collation of materials, venue setup, preparation of the agenda of meetings, tracking of matters arising from meetings etc.)
- Coordinate with internal and external stakeholders on various meeting platforms and Facilitate the conduct of meetings.
- Collate and prepare data for reporting purposes.
- Provide inputs in the review of guidelines and policies to enhance the effectiveness of the work processes and identify areas for automation of processes and business process re-engineering.
- Prepare procurement documents, e.g. translate requirement to ITQ/tender specifications for the procurement of office assets and services or projects, including preparation of budget memo, evaluation report and ensure smooth award, renewal and billing.
- Perform any admin duties as assigned, as when required.
Job Requirements
Possess at least 3 years of relevant working experience in administration.
Minimum Diploma in Administration or equivalent.
Basic minute writing skills.
Proficient in online meeting platforms such as MS Teams, Zoom, Webex etc.
Pro-active, organised, independent, quality conscious, attentive to details and results-oriented.
Good interpersonal and communication (written and verbal) skills.
