Office Administration Executive

**Job Summary**:
**Key Responsibilities**:
**Office Management & Operations**:
- Manage daily office administration including supplies, facility maintenance, filing systems, and internal communications.
- Serve as the main point of contact for vendors, service providers, and external stakeholders.
- Ensure compliance with company policies and support HR-related activities, such as attendance tracking and onboarding support.
**Sales Order & Customer Processing**:
- Process sales orders accurately in coordination with the sales and logistics teams.
- Coordinate invoicing, delivery scheduling, and order status updates with internal departments.
- Manage and follow up on **customer payments**, credit terms, and overdue accounts in liaison with finance.
**Logistics & Inventory**:
- Liaise with logistics partners for timely and cost-effective delivery of chromatography instruments, columns, and consumables.
- Monitor and maintain inventory records, including reordering supplies and stock reconciliation.
**Personal Assistance & Executive Support**:
- Provide day-to-day administrative support to senior management, including calendar management, travel booking, and meeting coordination.
- Prepare reports, documents, and presentations as required by leadership.
**Required Qualifications**:
- Diploma or Bachelor’s degree in Business Administration, Office Management, or a related field.
- Minimum **3 years of experience**in an office administration or operations role, preferably in a **scientific, lab, or B2B environment**.
- Familiarity with **order processing, logistics, and basic accounting procedures**.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook); experience with ERP or CRM systems is a plus.
- Strong organizational and time-management skills, with attention to detail.
- Good communication skills in both written and spoken English.
**Preferred Qualifications**:
- Experience supporting a **sales team in a scientific or technical product environment**(e.g., chromatography, analytical equipment).
- Knowledge of import/export documentation or logistics coordination.
- Prior experience in customer account reconciliation and payment follow-up.
