Office Administration Assistant

Some PA Duties:
1. Responsible for main clerical tasks for senior-level staff members (Management & Heads of Offices).
3. Scheduling meetings and updating the Office Head’s calendar.
4. Booking travel arrangements for the managers in coordination with the HR dpt.
5. Checks and submits promptly the Reimbursement Forms of the managers to finance & HR dpt.
Office Administration Assistant/Reception Duties:
1. Greeting Guests & members of the Team as the first focal person in the office.
2. Serves as a Company Ambassador therefore, accuracy, promptness and great manners towards everyone are a must.
3. Handles procurement of Office Supplies & tech equipment.
4. Coordination of Office Agenda meetings/booking of various Conference Rooms.
5. Handles Ticketing enquiries from Team members & coordination with Travel Agents.
6. Handles Ad hoc Price comparisons/ market investigation and submission for approval to the HR dpt.
7. Handles& timely submission of Reimbursement Forms on behalf of Heads of Offices to the HR dpt.
8. Addresses Courier requests from the Team, ensuring prompt delivery of business docs.
9. Provides general support to the Compliance dpt. and assistance with KYC & NDA procurement & execution.
10. Ensures timely, accurate and updated filing of docs. In the Compliance files.
11. Provides general support to the HR Dpt. related to daily requests over the office functionality.
12. Assists the HR dpt. whenever requested with the organizing of events, Team lunches, special occasions etc.
whenever required.
13. Management of cleaning services.
14. Follows-up on prompt settlement of payments related to rent/utility bills/mobile phones/ parking rentals/ office suppliers & service providers. Notifies colleagues, discusses payments with relevant departments.
15. Timely confirmation of office Suppliers’ payments & balance reconciliations with the Finance dpt.
