**CHURCH ADMINISTRATOR (OFFICE/FACILITIES)**:
We are seeking to hire 2 administrators (office/facilities) to manage our church office administration matters and to look after the church premises in order to keep it safe, clean, and well-maintained. The 2 administrators will share some general duties and have additional tasks depending on the focus of their roles.

**MAIN DUTIES AND RESPONSIBILITIES**:
General
- Organise a systematic filing system to ensure accurate and up-to-date records in church database, including staff records, vendor and contractor records etc.
- Collate and disseminate information to church members as necessary (e.g. weddings, newborns, funerals, church facility repairs etc).
- Arrange tables and chairs, and prepare beverages for activities/meetings as necessary.
- Unlock church gates and building doors in the morning and lock them in the evenings.

Office
- Perform day-to-day clerical duties, including answering phone calls, attending to enquiries, preparation and printing of documents, managing church mail and deliveries, collating and submitting staff expense claims etc.
- Follow-up with various church ministries and prepare both hard and soft copies of weekly church bulletin.
- Translate documents, including bible references, from English to Chinese, and vice versa.
- Provide secretarial support to the pastoral team, including contacting and scheduling external speakers and in-house interpreters for sermons and events.
- Support various church ministries and departments in administrative matters as necessary, including translation support, printing of materials etc.
- Design, update, and regularly maintain church website to ensure up-to-date information is displayed.
- Recommend plans, policies, and financial budgets concerning church administration matters to the Church Council for approval.

Facilities
- Manage the upkeep and maintenance of church building facilities (e.g. audio speakers and projectors, pastor parsonage, in-house elevator etc).
- Perform daily housekeeping duties and general cleaning of church premises.
- Schedule and supervise vendors and contractors to ensure maintenance and orderliness of church premises.
- Ensure sufficient stock of church regular supplies and restock as necessary (e.g. toilet paper, hand towels, cleaning supplies, etc).
- Prepare and set out Lord’s Supper elements on monthly basis before church services.
- Prepare and set up baptism pool prior to church service baptisms.
- Ensure permits are renewed on timely basis (e.g. vehicle parking permit, elevator operation permit etc).
- Recommend plans and financial budgets concerning church facilities matters to the Church Council for approval.

**REQUIREMENTS AND SKILLS**:

- At least 7 years of relevant experience in a relevant field.
- Familiarity with Microsoft Office (Word, PowerPoint, Excel etc).
- Able to communicate in English and Chinese (will be an advantage if able to communicate in Cantonese).
- Able to work independently with mínimal supervision and takes initiative to follow-up and make recommendations.
- Possess strong organisational skill and able to multi-task with good time-management and prioritisation.
- Required to work at least one weekend (Saturday/Sunday).
- Comfortable to interact with church members and visitors.
