Executive Assistant to Director

**Mission of the role: Manage and handle a broad spectrum of business and administrative support responsibilities in order to facilitate the Director's ability to effectively lead the company.**
**Responsibilities**:
- Assist in maintaining up-to-date documentation, manage vendors and customer service agreements.
- Plan & Organize events/ meetings, in charge of procurement of office supplies.
- Corporate secretarial coordination and preparation of corporate secretarial documents for company and regional subsidiaries
- Administration of Legal document and general administration support to the company.
- Coordinate with HODs and other staff on obtaining approvals from the CEO of the holding company for business operational matters.
- Communicate and work closely with other team and monitor the progress on all tasks to ensure that project deadlines are met.
- Work alongside with the Director to oversee the project portfolio and grow sales in this revenue stream.
- Handle confidential matters privy to the Director with discretion and maintain the security of the company data and information.
- Manage the requisition and maintenance of office facilities and equipment, office supplies and pantry supplies.
- Work with account manager for GST submission, yearly income tax submission, IR8A,IR21 for tax clearance and all related report to IRAS.
- Petty cash management, staff reimbursement, CPF submission.
- Liaising with external auditor for financial audit.
- Liaising with corporate secretary to handle Annual Return and all related according to ACRA’s requirement.
- Perform any other duties as and when assigned by the Director.
**Job Requirements & Qualifications**:
- Minimum Diploma in Business Administration/Management/Marketing or any other related discipline
- At least 3 to 5 years of proven experience providing business support to C-level executives
- Excellent written and verbal communication skills in English
- Strong planning and organizational skills, highly resourceful and quick-thinking in a fast-paced environment
- A good track record of spearheading projects, from concept to completion
- Highly meticulous and able to work independently within tight timelines
- Takes initiative to get the desired outcomes in cooperation with other teams
- Strong interpersonal skills and able to build relationships with all stakeholders
- Will have to attend occasional meetings in different time zones
- Proficient in Microsoft Office and G-Suite
