INSEAD is currently looking for an **Administrative Assistant **to join our **EDP Department. **This is a **12-months contract **position that will be based at our **Asia Campus in One-North, Singapore.**

**The Administrative Assistant manages the relationship between the Programme Management Team and internal stakeholders and works constantly in a fast-paced, customer-focused environment in EDP. This role is responsible for managing the full spectrum of administrative activities to support the Programme Management Team to ensure compliance with established standards, all relevant policies and procedures, contributing towards successful delivery (on-campus, off-campus, virtual) of all Open Enrollment Programmes (OEPs) and Customised Programmes (CSPs), as well as ensuring a positive customer experience journey.**

**The Administrative Assistant works independently in a functional role, as well as part of a collaborative team. In this individual contributor role, the job holder will report direct to the Associate Director, Operations and Coordination.**

**Key Responsibilities will include**
- Coordinating and providing administrative support to Team Manager, a team of Project Managers and Programme Managers, ensuring that all tasks and projects are completed on time and to a high standard.
- Managing the full spectrum of administrative activities, including ordering inventory, preparing, and printing of participant badges, pancartes, signages, programme certificates and teaching materials etc.
- Prepare and publish e-certificates via Accredibles platform and/or secured PDF certificates upon completion of programmes (for OEP & some CSPs)
- Supporting the delivery of on-campus programme, including receiving participants at the main reception on Day 1 and ensuring all course materials are well prepared.
- Managing the process of raising Purchase Requisitions
- Organise mailing of programme materials (e.g., books) to participants through local courier and overseas shipment via DHL
- Other logistics support duties such as preparing and clearing rooms for prayer usage, coaching etc.
- Process programme graduation in Peoplesoft system
- Any other relevant tasks that may evolve from this role.

**To be successful in this role, you should have**
- Diploma in any discipline.
- 1- 2 years’ experience in an administrative and customer service role.
- Excellent verbal and written communications skills.
- Excellent command of computer tools such as MS Word, Excel, etc.
- Good experience in interpersonal relations.
- Meticulous, able to multitask and prioritize the most urgent of tasks.
- Able to work independently in a functional role, as well as part of a collaborative team.
