We are seeking an experienced and highly organized **Practice Manager**to join our Singapore team immediately.
**Position Overview**:
The Practice Manager is responsible for overseeing the operational performance of STX architectural studio. This role bridges design leadership with business operations to optimize workflows, manage resources, enhance project delivery, and drive continuous improvement. The Practice Manager ensures the team operates with clarity, efficiency, and alignment to the firm’s creative vision and strategic goals.
**What you will be doing**:
**Operational Leadership**
- Develop and implement systems for efficient project scheduling, team resourcing, and workflow optimization.
- Collaborate across our three offices—Singapore, Toronto, and the Philippines—to monitor workload distribution and staff capacity, ensuring balanced and sustainable delivery.
- Standardize internal procedures and documentation protocols across teams.
- Implement and enforce office-wide policies, ensuring compliance with regulatory standards.
- Coordinate with IT and software vendors to support the firm’s digital and technical infrastructure.
**Project Delivery Support**
- Collaborate with Project Leads to define deliverables, track progress, and ensure timely, budget-aligned execution.
- Oversee Quality Management (Quality Assurance QA) and (Quality Control QC) processes and internal reviews to uphold project standards.
- Troubleshoot workflow bottlenecks and mitigate risks to schedule or quality.
- Ensure adherence to health and safety guidelines and contractual obligations.
**Team Development & HR Coordination**
- Support recruitment, onboarding, and staff integration activities.
- Maintain resource planning tools and monitor team utilization and performance metrics.
- Coordinate staff development efforts, including mentorship programs and Continuing Professional Development (CPD) activities.
- Act as a conduit between architectural leadership and Human Resources (HR) on performance management and employee engagement.
- Oversee administrative tasks such as timesheets, procurement, and reporting.
**HR Tasks**
- Maintain and update employee records, role assignments, and organizational charts in collaboration with HR.
- Track vacation, sick time, and leave requests; ensure alignment with project resourcing needs.
- Assist with drafting job descriptions, employment contracts, and role postings.
- Schedule interviews, onboarding sessions, and performance check-ins.
- Support documentation of staff reviews, training records, and compliance-related personnel files.
**Financial & Strategic Management**
- Partner with leadership to forecast staffing needs and prepare departmental budgets.
- Monitor project profitability, staffing costs, and financial performance; recommend adjustments where necessary.
- Generate practice-level performance reports for strategic insight and accountability.
- Participate in strategic planning and contribute to operational goal setting.
- Manage financial coordination with clients and contractors as needed.
**Client & Business Development Support**
- Collaborate with Marketing on RFPs, project proposals, and bid submissions.
- Track project pursuit metrics and support improvement of win rates.
- Assist with client presentations, stakeholder engagement, and coordination logistics.
- Contribute to client retention efforts and support business development planning.
**Knowledge Management & Innovation**
- Maintain organized digital libraries of templates, project documentation, and precedent resources.
- Promote internal knowledge sharing via structured sessions and cross-team collaboration.
- Lead or support implementation of new tools, systems, or sustainable design practices.
- Ensure continuous improvement in operations through innovation and industry best practices.
**General & Ad Hoc Support**
- Provide executive assistance to the Directors and the Principals.
- Support with legal documentation, audits, and accreditation processes.
- Participate in or lead firm-wide initiatives, pilots, or change management efforts.
- Assist with ad hoc requests.
**What you bring along**:
- Bachelor of Arts degree or equivalent, Business Administration, Design Management - Bachelor’s in architecture or landscape architecture is considered an asset.
