ROLE PURPOSE
The Associate, Business Support, provides coordination and management of critical day to day commercial activities to the commercial/leadership teams for SEA, HK and TW, such as (not limited to):
- End to end orders management for the assigned countries (i.e. Order submission to fulfillment)
- Management and reconciliation of account related matter with Finance.
- Preparation and maintenance of business enabling reports and database (e.g. Sales reports, Demand Plan, Pricing and etc.)
- He/She will also provide administrative and clerical support tasks within area or lines of business supported.
Strategic Role Responsibilities
- Coordination and preparation of weekly/monthly sales forecast and reports from SEA, HK & TW markets.
- Ensure business planning processes/databases is updated with latest information, such as demand plan/S&OP and pricing matrices.
- Support seamless day to day distributors’ operations by following through daily sales orders and report backlog status.
- Ensure and maintain central database for distributors’ contracts with updated pricing and other information.
- Raise PO, submit invoices, and other business requests for business approval.
- Liaise and follow up on the required actions from sales administration, credit/ accounting, service administration and technical support team
- Report back to commercial leads on the status of order fulfillment, shipment, AR collection and outstanding issues.
- Highlight to commercial leads recurrent issues relating sales order, order fulfillment, shipment and credit hold/ AR collection, and manage resolution and reconciliation.
- Support preparation of reports to government agencies (e.g. EDB)
- Administering Corp Pass related matters.
- Coordinate Leadership Team meetings and assist with staff meetings and events as needed.
- Manage travel schedules and coordinate travel logistics (e.g., book flights, hotels, amenities, appointments, meetings, etc.).
- Other duties and responsibilities as directed by direct manager.
Operational Role Responsibilities
- Process daily purchase orders (POs) and invoices, updating of database and preparing team reports.
- Address customer queries with regards to invoices or billing matters.
- Prepare daily, weekly and monthly sales reports.
- Provide administration and coordination assistance to commercial team, e.g. Data management and preparation of reports.
- Create and ensure current product master list and sales reports from SAP.
- Coordinate with International/Sales Admin, Finance, Regulatory and Shipping Teams on orders fulfilment and delivery arrangements.
- Support the development of office set up as needed.
- Provide administrative and clerical support tasks within area or lines of business supported.
