Executive Assistant to CEO

Overview:
Key Responsibilities:
- Schedule Management:
- Manage and maintain the CEO's calendar, including scheduling meetings, appointments, and travel.
- Prioritize and handle incoming requests and conflicting schedules.
- Prepare and ensure the CEO is fully briefed for meetings and events.
- Communication Support:
- Draft and proofread correspondence, memos, and reports.
- Act as a liaison between the CEO and other team members, clients, or partners.
- Project Management:
- Support the CEO with business projects by coordinating tasks, timelines, and resources.
- Monitor progress and ensure key deadlines are met.
- Provide administrative support for ongoing initiatives.
- Travel Coordination:
- Arrange domestic and international travel, including flights, accommodations, and transportation.
- Prepare itineraries and manage travel-related documents.
- Business and Personal Support:
- Assist with day-to-day business and personal errands as needed.
- Help with office management and ensure the CEO’s workspace is well-organized.
- Provide assistance with event planning, including conferences, meetings, and team-building activities.
- Confidentiality & Discretion:
- Maintain a high level of confidentiality in all aspects of the CEO’s business and personal affairs.
- Handle sensitive information with professionalism and discretion.
Qualifications:
- Proven experience as a Personal Assistant or Executive Assistant, preferably supporting a CEO or senior executive.
- Excellent organizational and time-management skills.
- Strong communication skills, both verbal and written.
- Ability to prioritize tasks effectively and manage a heavy workload.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to maintain discretion and confidentiality.
- Proactive, detail-oriented, and adaptable to changing demands.
- Positive, professional attitude with a high level of initiative.
- Able to speak English and Bahasa Indonesia fluently.
Education & Experience:
- A bachelor’s degree or equivalent experience is preferred.
- 5+ years of experience in a personal assistant, executive assistant, or administrative support role.
Working Hours:
Full-time position with flexibility as needed based on the CEO’s schedule. Travel within Southeast Asia might be required.
Compensation:
Competitive salary based on experience, plus benefits.
