
Administration Manager

We are looking for an exceptionally capable and experienced Administration Manager to oversee and enhance the administrative, contractual, financial, and operational support of our construction projects. The ideal candidate will bring strong technical knowledge, hands-on experience in contract & cost control, and the ability to contribute to budgeting and procurement decisions.
Key Responsibilities:- Lead and manage full-spectrum administrative functions for ongoing and new construction projects
- Prepare, monitor, and manage project budgets in collaboration with the project and finance team
- Track project costs, assist in cost control, and flag potential overruns or risks
- Review and process main and subcontract agreements, LOA, VO, claims, and payments
- Assist in the reading and interpretation of architectural and structural drawings for procurement and documentation purposes
- Manage the full procurement cycle: sourcing, negotiation, PO issuance, delivery tracking
- Attend project meetings with clients, consultants, and subcontractors; document meeting minutes and follow-up action items
- Liaise with authorities and ensure compliance with all statutory and industry regulations (e.g., BCA, MOM, LTA)
- Provide leadership and guidance to junior admin and procurement staff
- Prepare cost reports, admin reports, and management-level documentation as required
- Degree or Diploma in Business Admin, Construction Mgmt, Quantity Surveying, or related field
- Minimum 5 years of admin experience in construction
- Strong knowledge of construction budgeting, cost tracking, and procurement planning
- Familiarity with construction contracts and documentation standards
- Able to read and understand construction drawings (basic architectural & structural)
- Proficient in Microsoft Excel, Word, and project document control tools (e.g., Procore, Aconex)
- Excellent communication, negotiation, and multi-tasking skills
- Highly organized, analytical, and reliable under pressure
- Experience in project cost control or QS background
- Knowledge of ISO documentation or tender submissions
- Familiar with local authority processes for submissions and permits (e.g., BCA/MOM)
